Planning guide

Planning a corporate event in Malta

Malta punches far above its weight for corporate events: EU timezone, English-speaking vendors, 300 days of sun, and venues that out-photograph any hotel ballroom: 400-year-old vaults for product launches, seafront terraces for summits, private boat charters for incentive days. Flight time from most European hubs is under three hours, which is why offsites keep landing here.

A rough guess at budgets: €150 to €350 per attendee for a full-day event with venue, AV, catering and one activity block; €80 to €150 for an evening reception. The operational trap is coordination, not cost. A summit touches five vendor categories minimum, and herding them over email is a full-time job for two weeks. A shared plan with every supplier in one place makes it lighter.

How to plan it in six moves

01

Lock the anchor

Date + venue first. It fixes the guest ceiling and about 30% of the budget. Everything else flexes around it.

02

Draft the full plan

Let the planner draft every category at once so you see the whole rough budget before committing to any single piece.

03

Shortlist two or three per category

Compare rough price guesses and what each one offers side by side. The plan shows them in one view.

04

Contact them yourself

Send each shortlisted business the same brief: date, guests, budget. Type the prices they give you into your plan and the budget updates.

05

Confirm & invite

Mark what you have booked, then share the RSVP link: meal preferences and allergies collect in one list.

06

Run the day from the timeline

Every vendor, time and contact in one run-of-show. The week-before panic is a checklist, not a crisis.

Corporate Event questions, answered straight

What does a corporate event cost per attendee in Malta?

As a rough guess: a full day with venue, AV, lunch and an activity €150 to €350 per person; an evening reception €80 to €150. Ask each venue and supplier for real prices.

Which venues handle production (AV, staging, streaming)?

Ask each venue directly about rigging points, power and blackout before you shortlist it. Hotels with conference rooms usually have in-house AV; historic venues often need it brought in.

What team activities actually work for mixed groups?

Boat charters (the reliable crowd-pleaser), team olympics on private grounds, wine-cellar tastings, and kayaking for smaller adventurous teams. Split-track afternoons (one active, one relaxed) keep 100+ person groups happy.

How do we handle invoicing and procurement?

Send every supplier the same written brief and ask for an itemised written offer, so the answers compare. Keep the prices they give you in your EventPlanly plan; EventPlanly itself does not handle quotes, contracts or invoices.

How much lead time does a summit need?

8 to 12 weeks for 100+ attendees: 2 weeks to lock the venue, 2 to 3 for catering and AV quotes, the rest for logistics and delegate comms. Under 50 people, 4 to 6 weeks is workable.
